JiveX HCM in France's GHEF

The Grand Hôpital de l'Est Francilien (GHEF) was created in early 2017 as a result of the merger of four facilities in the north of the Seine-et-Marne region of France, and most recently expanded in 2019 with the integration of a geriatric hospital. Since then, 5,000 medical professionals work at the facility with its more than 2,000 beds. One important objective of the persons responsible: the introduction of an electronic patient file at all four sites. A prerequisite for this was also given by the introduction of JiveX Healthcare Content Management (HCM).

The hospital facility opted for this in April 2022 to also be able to digitize the medical paper archives of the various locations and combine them with the digitally generated data within a patient's records. By digitizing the paper archives, the GHEF also saves money through reduced operating costs and space by eliminating the physical archives. And by the way: the HCM meets all the norms and security standards required by the Département to eliminate a physical archive. 

Successful productive beginning

While still in the planning phase, the issue of "lack of space" and the conversion to a digital archive suddenly became acute, as Jean-Charles Verrière, Director of Information Systems at the GHEF, recounts. "Close to one of the locations, we were given the opportunity at short notice to move some of the medical services to a new building and also locate a day clinic here, which saves time and is more convenient for our patients. However, the relocation involved downsizing, so we had to replace the paper archive quickly to make relocation practicable. Thanks to the support of the VISUS team, we were able to meet the tight time schedule and make a smooth transition." 

The reason why VISUS with its JiveX was even shortlisted for archive digitization at the GHEF was due to the excellent experience the Hôpital Paris Saint Joseph had made with the solution, as Isabelle Gantier, Head of the Medical Archive, explains: "We visited the Hôpital Saint Joseph, which was the pioneer in digitization, to see how it worked in practice. This convinced us without reservations." Another important criterion in the choice was adherence to the tight schedule.

Paperless processes

Seamless integration into the HIS was also high on the list of priorities, as Jean-Charles Verrière explains: "The software must be able to be fully integrated into business processes so that physicians can have seamless access to all relevant medical information. JiveX meets this requirement extremely well by being able to create references from stored objects and enabling their visualization from the HIS. In other words, even if the document itself is not present in the file, it can be accessed from there in a contextual manner and integrated via the on-board JiveX viewer. That is extremely practical.'' 

In addition to eliminating the physical archives, the day-to-day processes at the GHEF were also be converted to being paperless. The objective was to stop producing paper!
In Marne la Vallée, this credo has already been put into practice, as Isabelle Gantier reports: "The data of a new patient or a patient whose records have already been scanned can now be automatically scanned into the care process via JiveX." JiveX also features practical options, such as the virtual printer. For example, this allows vital data to be sent directly to the scanner instead of being printed out on paper. This enables analog findings from biomedical devices to be inserted automatically into the correct clinical context.

JiveX creates the basis for a strategy

The introduction of the digital archive with VISUS also puts the elimination of the paper archive on a secure legal footing. The official approval of the Archives Départementales for the elimination of the paper archive has been granted. In this regard, the collaboration of the GHEF with the Archives Départementales to establish an archival policy in accordance with the NF Z42-026 and NF Z42-013 standards was also crucial. The fact that the strategy was implemented so smoothly and so quickly is in turn due to the good cooperation with VISUS. A total of 4754 records or 777,706 pages had already been digitized by February 1, 2023 - a truly mammoth task, as Isabelle Gantier emphasizes.

Physicians are also enthusiastic about JiveX because all medical data are consolidated and easily accessible.
